Automated Provisioning: How to Reduce Onboarding and Access Errors

A well-designed automated provisioning system can be thought of as the digital equivalent of an office building with access cards: when Human Resources registers a new employee, their card automatically works on the relevant doors; if they change departments, their access rights are updated; and if they leave the company, the card stops working immediately.

Automated Provisioning: reduce errores en altas y accesos

When applied to access to digital resources, automated provisioning – as part of an IGA system – works to achieve precisely this. The importance of this achievement should not be underestimated: it is a key element not only for organisational security, but also for productivity and regulatory compliance, at a time when the variety of identity types is multiplying and becoming a vulnerable entry point for privilege escalation and other attacks.

Below, we analyse the operational and technical foundations that enable automated provisioning and the role of Soffid IGA

How does automated provisioning work in practice?

Automated provisioning enables the automation of identity onboarding processes based on three key pillars:

  • Definition of access rules and role modelling, so as to establish which access policies are to be applied based on the requirements of each identity profile. Based on this first step, it is possible to activate automated batch provisioning using the new hires recorded in HR, with predefined access profiles by role that enable multiple accounts to be activated quickly.

  • Establishment of provisioning workflows, triggered in accordance with the rules. These workflows determine the hierarchical and technical path to be followed to request, approve and execute each new registration request.

  • Integration between the platform for requesting identity registrations (e.g. the HR system), the identity governance platform (IGA) and the systems in which the registration will actually take place (e.g. the cloud platform providing access to a resource required for the role). This is where connectors come into play: integrated into the IGA platform, they are responsible for establishing the connection between the identity management platform and the various repositories and systems managed by the organisation. In practice, it is these connectors that enable the automation of onboarding (as well as deactivation and changes to roles or permissions) directly within the target systems.

This automated process is also integrated into a comprehensive identity lifecycle management system, which covers the creation of new identities as well as changes and deprovisioning.

An example of how automated provisioning works: onboarding a new employee

  • The process begins in Human Resources, when a new employee is registered. HR acts as the single source of truth from which all processes originate.
  • This information is automatically sent to Soffid IGA, where the appropriate access rules for the new employee’s specific role (RBAC or Role-Based Access Control) have already been configured. In this way, a junior sales employee receives a set of access rights appropriate to their role, which differs from that of a senior employee or an administrative staff member.
  • Using the appropriate connectors, the IGA system automatically creates user accounts for the new employee in the applications and platforms they need to be able to use (Google Apps, Windows, AWS, Azure, etc.).
  • At the same time, an event log is automatically generated, ensuring full traceability and visibility for audits and other compliance and security requirements.

Soffid IGA is the platform that brings all the components — HR systems, directories, applications and hybrid environments — together into a single automated workflow. When a new hire, a change of role or a departure occurs, Soffid applies access rules, implements the changes across all connected systems via its connectors, and generates a complete record of every action. No manual intervention. No delays. No blind spots.

All of this represents a governance model for access that goes far beyond authentication or a simple identity repository, becoming fundamental to security and regulatory compliance.

Soffid is the only IAM platform developed entirely in Europe with ENS ALTO and Common Criteria certification — which means that automated provisioning not only works, but can be demonstrated to any auditor.
